Remote Online Notarizations Expected for California Notaries by 2030

Remote Online Notarization in California

Remote Online Notarization (RON) is a process that allows individuals to have documents notarized over the internet using audio-visual technology. In California, RON was officially authorized in 2020, enabling notaries to perform notarizations remotely under specific guidelines. Under these guidelines, "[a] California notary public shall not provide online notarization for any principal, and an online notarization platform shall not be authorized for use by a California notary public" until the Secretary of State authorizes it on their website and January 1, 2030 is the expected date. How Remote Online Notarization Works

  1. Preparation: The signer prepares the document that needs notarization and ensures they have the necessary identification documents.

  2. Choosing a Notary: The signer selects a California-licensed notary public who offers remote notarization services.

  3. Scheduling the Meeting: The signer schedules a virtual appointment with the notary, typically through a secure online platform.

  4. Identity Verification: During the meeting, the notary verifies the signer's identity using government-issued identification and may use additional identity verification methods, such as knowledge-based authentication (KBA).

  5. Document Signing: The signer electronically signs the document in the presence of the notary using the online platform.

  6. Notarization: The notary applies their electronic seal and signature to the document, completing the notarization process.

  7. Document Delivery: The notarized document is then delivered to the signer, often through email or a secure online portal.

Benefits of Remote Online Notarization

  • Convenience: Signers can complete notarizations from anywhere with internet access, eliminating the need for in-person meetings.

  • Time-Saving: The process is often quicker than traditional notarization, allowing for faster transaction completion.

  • Accessibility: RON provides greater access to notarization services for individuals who may have mobility issues or live in remote areas.

Considerations

  • Technology Requirements: Both the signer and the notary need reliable internet access and compatible devices for the video conference.

  • State Regulations: Notaries must comply with California's specific regulations regarding remote notarization.

  • Document Types: Not all documents may be eligible for remote notarization, so it's essential to check the guidelines.

Remote Online Notarization in California provides a modern solution for notarizing documents efficiently and securely, adapting to the needs of today's digital world.
